Mailing Lists and DMARC: Why Group Emails Fail Checks

Short answer: Mailing lists and email groups take a message from one person and send it again from their own servers, often with a changed subject or a footer. That breaks SPF alignment and can break the DKIM signature, so a strict DMARC policy such as reject may block the message. The usual fix is for the list to rewrite the From address to its own domain, or for the sender to use a separate domain or subdomain for list mail.

What a mailing list does to a message

A mailing list, a Google Group, a discussion group or a membership forum that sends by email all work in a similar way. A member writes to the list address. The list software receives the message and sends a copy to every subscriber. For the subscriber, the message appears to be from the original author, so the author’s address stays in the From line.

That is useful for readers, but it looks very different to the authentication system. The message now comes from the list server, which the author’s domain never authorised to send mail. In email terms, it is a third party sending on behalf of the author, and that is exactly the pattern DMARC was built to challenge.

Lists often make other changes along the way. They add a tag such as the list name to the subject, add a footer with unsubscribe text, remove attachments or convert the format. Each of those can matter for DKIM. If you want a refresher on the three records, see our guide to the differences between SPF, DKIM and DMARC.

Why SPF fails for forwarded list mail

SPF checks whether the server that delivered the message is allowed to send for the domain in the envelope sender, also called the return path. The list server uses its own return path, usually on the list’s domain, so SPF can pass for that domain. DMARC then asks a second question: does the domain that passed SPF match the domain in the visible From address?

For list mail it does not. The visible From is the author’s domain, and the SPF pass belongs to the list’s domain. That is an alignment failure, so SPF cannot help DMARC pass. We explain the idea in detail in DMARC alignment: relaxed versus strict mode.

Why DKIM often fails as well

DKIM is the part that could save the day, because a signature travels with the message. If the author’s domain signed it and the list did not change the signed parts, DKIM passes with the author’s domain, and DMARC passes even though SPF does not align.

The problem is that many lists do change what is signed:

When the signature breaks, both SPF and DKIM fail alignment. DMARC then fails, and the receiver follows the author’s policy: nothing for none, the spam folder for quarantine or a rejection for reject.

Why this became a bigger problem

For years, DMARC policies of none were common, and list mail went through without anyone noticing. As more domains moved to quarantine and reject, to stop spoofing and meet mailbox provider requirements, list mail started to bounce. Some people were then marked as bouncing addresses by the list software and removed from the list, or their mail silently disappeared.

The effect is easy to miss. The sender sees nothing unusual, the list owner sees a few bounce reports, and the other members simply never receive the message. If you moved to a strict policy, as we describe in how to move from p=none to reject safely, mailing lists are one of the first places to check.

What list owners can do

If you run a list or a group, you have several options. The right one depends on the software.

Many hosted group tools, including common ones from large email providers, have a setting for how they treat the From address. Look for options that change the sender for messages from domains with a strict policy.

What domain owners can do

If your own staff or customers write to mailing lists, think about where the risk is.

Remember that forwarding behaves in a related but different way. A simple forward keeps the original message, while a list changes it. For that case read about SPF, SRS and ARC in forwarding.

How to find out whether lists are affecting you

  1. Read your DMARC reports. Look for sources that send with your domain in the From line but are not your own systems, especially servers of group tools and forums.
  2. Send a test. Post from your address to a list you control and open the full headers on a receiving mailbox. Look for the authentication results lines.
  3. Ask a recipient. If a member says they never get your messages, ask them to check the spam folder and the list’s bounce log.
  4. Check your policy. If it is reject and your staff post to public lists, expect failures.

What Site AI Audit can and cannot tell you

Site AI Audit checks the email setup of your domain from the outside: SPF and its lookup limit, DKIM signatures, the DMARC policy and MX records. It can tell you whether you have a DMARC policy and what it is, which tells you how strictly receivers will treat list mail. It cannot see how a particular mailing list handles your messages or read your DMARC reports. You can run a free check of your domain or see the plans.

The bottom line

Mailing lists send your words from servers you never approved, and often change the message on the way. Under a strict DMARC policy, that is enough to make the message fail. List owners should rewrite the From address or sign with their own domain, and domain owners should read their reports, separate list traffic and raise the policy only after checking who is sending on their behalf.

FAQ

Why do my emails to a group not arrive?

If your domain has a DMARC policy of quarantine or reject, the list’s changes can make the authentication fail. Receivers then send the group copy to spam or reject it. Check your DMARC reports and the list’s bounce log to confirm.

Does DMARC break all mailing lists?

No. Lists that rewrite the From address, or that do not alter the message and keep the DKIM signature valid, work fine. Problems appear mainly for strict policies combined with lists that change subjects or footers and keep the original From address.

Should I weaken my DMARC policy because of lists?

Usually not. It is safer to separate the traffic, for example by using another domain for public list posts, and keep the strict policy where it protects your brand. Lower the policy only for a short time while you investigate.

What is ARC and does it solve this?

ARC lets an intermediary such as a list record the authentication results that it saw when the message arrived. A receiver may use that record to trust the message. It helps in some cases, but support differs between providers, so it is not a complete fix.

Can I add the list server to my SPF record?

You can, but it usually does not help, because alignment still fails when the return path belongs to another domain. It also authorises a server you do not control. Fixing the From handling or using DKIM correctly is a better approach.
